Effective Date: August 17, 2026

Thank you for choosing Wholesome Meadow Farms.

We take pride in providing farm-fresh food products and other goods directly to our customers. Because many of our products are fresh, perishable, refrigerated, or prepared specifically for an order, our return and refund policies are different from those applicable to ordinary non-perishable merchandise.

This Sales & Return Policy explains our policies for orders placed through wholesomemeadowfarms.com, including purchases for local delivery, pickup, shipping, subscriptions, and other orders accepted by Wholesome Meadow Farms.

1. General Sales Policy

All orders placed through our Website are subject to product availability, delivery availability, applicable taxes, delivery or shipping charges, and successful payment or payment verification.

We reserve the right to:

  • Correct pricing or product-description errors

  • Limit quantities where necessary

  • Substitute or remove unavailable products where permitted

  • Decline or cancel an order when a product is unavailable

  • Cancel an order where we reasonably suspect fraud, misuse, or unauthorized activity

  • Contact the customer to resolve an order or delivery issue

If we cancel an order because the product is unavailable or because we are unable to fulfill the order, we will provide an appropriate refund for amounts paid for the cancelled items.

2. Product Availability

Our products may be subject to seasonal availability, farm production, weather, inventory levels, and other circumstances beyond our control.

For fresh farm products, quantities may vary from time to time.

If an ordered product becomes unavailable after an order is placed, we may:

  • Contact you regarding an available substitute;

  • Remove the unavailable item and refund the applicable amount; or

  • Cancel the affected portion of the order.

We will not substitute a product without your approval where the substitution would materially change the product, price, or nature of the order.

3. Fresh and Perishable Food Products

Because many Wholesome Meadow Farms products are fresh or perishable, we generally do not accept returns of food products once they have been delivered or picked up.

This includes, where applicable:

  • Fresh eggs

  • Fresh poultry or meat

  • Fresh fruits and vegetables

  • Berries

  • Refrigerated products

  • Frozen products

  • Other perishable food products

  • Products requiring temperature-controlled handling

This policy exists primarily for food-safety reasons. Once a perishable food product has left our control, we cannot reliably verify how it was stored, handled, or transported.

Florida's Department of Agriculture and Consumer Services regulates retail food establishments and food safety practices for food sold directly to consumers.

However, this does not prevent us from addressing legitimate problems with an order. If a product arrives damaged, spoiled, unsafe, incorrect, or materially different from what was ordered, please contact us promptly as described below.

4. Damaged, Spoiled, Unsafe, or Incorrect Products

If you receive a product that:

  • Is damaged;

  • Appears spoiled or unsafe;

  • Is substantially different from the product ordered;

  • Is missing from the order;

  • Is the wrong product;

  • Has been damaged during delivery; or

  • Has another significant quality problem,

please contact us as soon as reasonably possible after delivery or pickup.

For food products, we recommend contacting us within 24 hours of delivery or pickup so that we can investigate the issue while the product condition can still be evaluated.

Please provide:

  • Order number

  • Customer name

  • Product name

  • Description of the problem

  • Date and time of delivery or pickup

  • Photographs of the product and packaging, where applicable

  • Any other information reasonably requested by our customer-service team

For food-safety concerns, please do not consume the product if you believe it may be unsafe.

We may ask you to retain the product and packaging temporarily while we investigate the issue.

Depending on the circumstances, we may provide:

  • Replacement of the affected product;

  • Store credit;

  • Partial refund; or

  • Full refund for the affected product.

The remedy will depend on the nature of the problem and the circumstances of the order.

5. Missing or Incorrect Items

If an item is missing from your delivery or you receive an incorrect item, please contact us promptly.

After verifying the order, we may:

  • Deliver the missing item;

  • Replace the incorrect item;

  • Provide a refund for the missing item; or

  • Provide another appropriate resolution.

Please do not return food products unless specifically instructed by Wholesome Meadow Farms.

6. Delivery Issues

Customers are responsible for providing an accurate delivery address, telephone number, and any necessary delivery instructions.

We are not responsible for delays or failed deliveries caused by:

  • Incorrect or incomplete address information;

  • Customer not being available when required;

  • Inability to access the delivery location;

  • Unsafe delivery conditions;

  • Failure to follow delivery instructions;

  • Customer-requested delivery changes;

  • Severe weather or natural disasters;

  • Road closures or other circumstances beyond our reasonable control.

For perishable products, customers should make reasonable arrangements to receive and properly store the products promptly after delivery.

If a delivery problem occurs, please contact us as soon as possible so we can determine the appropriate resolution.

7. Local Delivery

For local farm deliveries, available delivery areas, delivery charges, minimum-order requirements, delivery schedules, and delivery time windows may vary by location.

The applicable delivery charge and available delivery options will be displayed during checkout where available.

A delivery charge may not be refundable where the delivery was successfully completed.

If an order cannot be delivered because of an error attributable to Wholesome Meadow Farms, we will work with the customer to arrange an appropriate resolution.

8. Shipping

For products eligible for shipping, shipping charges and available shipping services will be displayed during checkout where applicable.

Once a parcel has been handed over to the applicable shipping carrier, delivery times may be affected by circumstances outside our control.

If a shipment is delayed, damaged, lost, or otherwise affected during transit, please contact us promptly with your order number and available shipment information.

For perishable products, shipping eligibility may be restricted to certain locations, shipping methods, seasons, or delivery conditions.

9. Order Cancellation

Because some products may be prepared, harvested, packed, or allocated specifically for an order, cancellation availability may depend on the product and the stage of fulfillment.

Before fulfillment

If you contact us before an order has entered preparation or fulfillment, we will generally attempt to cancel the order and provide a refund of eligible amounts paid.

After preparation or fulfillment has started

Cancellation may not be possible once the order has been prepared, packed, dispatched, or otherwise committed for delivery.

For perishable products, cancellation may be unavailable after preparation or packing has begun.

Please contact us as soon as possible if you need to cancel an order.

10. Refunds

Where a refund is approved, we will generally refund the applicable amount to the original payment method.

Refund processing time may depend on the payment method and financial institution.

The amount refunded may include:

  • The purchase price of the affected product; and

  • Applicable taxes associated with the refunded product.

Delivery or shipping charges may or may not be refundable depending on the circumstances of the issue.

We will communicate the applicable refund amount when the refund is approved.

11. Zelle and Other Manual Payments

For payments made through Zelle or another manual payment method requiring verification, an order may remain in Payment Pending Verification status until we confirm receipt of the payment.

If an order is cancelled because payment cannot be verified or because the order cannot be fulfilled, any amount actually received by Wholesome Meadow Farms will be handled in accordance with this Sales & Return Policy.

Customers should not send additional funds unless specifically requested by Wholesome Meadow Farms.

12. Subscriptions and Recurring Orders

If you subscribe to a recurring delivery plan, each scheduled delivery is treated as a separate order.

You may cancel or modify a future subscription delivery subject to the applicable cancellation deadline communicated at the time of subscription or through your account.

Once a subscription order has entered preparation, packing, or fulfillment, cancellation may no longer be possible.

For fresh or perishable subscription products, returns are generally not accepted after delivery.

If a subscription product arrives damaged, spoiled, unsafe, incorrect, or materially different from what was ordered, please contact us promptly so we can investigate and provide an appropriate resolution.

13. Non-Perishable Merchandise

If Wholesome Meadow Farms sells non-food merchandise, such as clothing, accessories, household items, or other non-perishable products, those products may be eligible for return subject to the conditions specified below.

Unless a product-specific policy states otherwise, eligible merchandise must generally:

  • Be unused;

  • Be in its original condition;

  • Include original packaging and tags where applicable; and

  • Be returned within 30 days of delivery.

Customers should contact us before sending merchandise back.

Return shipping costs may be the responsibility of the customer unless the item was defective, damaged, incorrect, or otherwise eligible for a prepaid return under our instructions.

Refunds will generally be issued after the returned merchandise has been received and inspected.

14. Products Not Eligible for Return

Unless otherwise required by applicable law or specifically approved by Wholesome Meadow Farms, the following generally cannot be returned:

  • Fresh or perishable food

  • Refrigerated or frozen food

  • Opened food products

  • Consumed food products

  • Custom or personalized products

  • Products specifically prepared or allocated for an order

  • Gift cards

  • Items marked as final sale

  • Merchandise that has been used, damaged, altered, or returned without required original components

Nothing in this section limits any rights that cannot legally be waived.

15. Exchanges

For perishable food products, we generally do not offer exchanges after delivery.

For eligible non-perishable merchandise, an exchange may be available subject to product availability and the applicable return conditions.

If the requested replacement is unavailable, we may offer a refund or another appropriate resolution.

16. Refunds for Product Quality Issues

Our goal is to resolve legitimate product-quality issues fairly.

When evaluating a refund or replacement request, we may consider:

  • Product condition when delivered;

  • Time elapsed since delivery;

  • Storage and handling after delivery;

  • Photographs or other evidence;

  • Delivery conditions;

  • Product type;

  • Order records;

  • Applicable food-safety considerations.

We reserve the right to investigate claims before approving a refund or replacement.

17. Promotional Items and Discounts

If an order contains promotional discounts, free products, bundled products, or other promotional benefits, refunds may be adjusted to account for the applicable promotion.

A refund will not necessarily restore a promotional discount or benefit if the remaining order no longer qualifies for the promotion.

18. Chargebacks and Payment Disputes

Before initiating a payment dispute or chargeback, we encourage customers to contact us so that we can attempt to resolve the issue.

If a chargeback or payment dispute is initiated, we may provide the payment processor or financial institution with relevant order information, delivery records, payment records, communications, and other documentation necessary to respond to the dispute.

19. Product Quality and Food Safety

We take reasonable steps to maintain food quality and safety throughout preparation, storage, packing, and delivery.

Customers are responsible for following applicable storage and handling instructions after receiving products.

Where applicable, storage instructions, use-by information, or other product-specific information may be provided with the product or on the product packaging.

If you believe a food product may be unsafe, do not consume it. Contact us promptly with the order information and details of the concern.

Florida's Department of Agriculture and Consumer Services provides regulatory oversight of food establishments and food-safety requirements applicable to regulated food businesses.

20. Our Right to Update This Policy

We may update this Sales & Return Policy from time to time to reflect changes to our products, delivery methods, payment methods, business practices, or applicable laws.

The updated version will be posted on this Website with a revised effective date.
